090609 Meeting about using 601 dance space

Hello Gainesville Dance Leaders,

The Gainesville Dance and Music Association is now defunct,
the location at 308 W University has been sold and is no longer
available to us as a dance space.

I personally would like to thank Ben, Tara and Aidan Bolker,
family and friends, and the former owners of the space for
their hard work and financial support that allowed us to dance
for the last three or four years. I know they put their time,
money and soul into GDMA without financial reward for our benefit.
Please let them know your appreciation.

A number of us have been on the look out for another dance space.
David Chayes had been renting space from the Brazilian Culture Arts
group at 601 S Main Street. The Brazilians have moved to Jacksonsville
and David wants to take over the space and manage it for dance groups.

We met Monday night with the owner of 601 to discuss this possibility.

Here are the meeting minutes. If your interpretation differs significantly
from mine, please let me know.

Meeting Minutes

1. Date: Monday June 8, 2009 6:45 - 7:45
Location: 601 S Main Street

3. Costs
Stephen Boyes provided us with a breakdown of expenses.
The cost of the space is about $2,100 per month plus
utilities and sales tax, which pushes the monthly expenses
to around $2,600.

4. Air Conditioning
We discussed the air conditioning situation.
About the coolest we can get the room during hot times
is about 75 degrees. This feels fine when we are sitting
around, but when dancing is sure to work up a sweat.
The owner is willing to upgrade the AC if we are going
to lease the room long term. We all agreed we could live
with the AC for now.

5. Insurance

The owner wants us to have insurance and
to name him on the certificate.

6. Rents for Individual Groups

Here were the published GDMA rental rates.
- $12 per hour weekday off-peak
before 6 pm and after 11 pm, Monday-Friday
- $15 per hour weekday prime time
6-11 pm, Monday-Thursday
- $15 per hour weekend off-peak
before 5 p.m. and after midnight Saturday; all Sunday
- $20 per hour Friday prime time
6-11 pm Friday
- $25 per hour Saturday prime time
5 pm to midnight Saturday

For the groups involved in this meeting,
these are the acceptable rates. Increase
on these rates would likely cause people
to look elsewhere.

The owner's asking rates were:
- Half Day Rental $50.00
- Half Day Utillties $25.00
- Sales Tax $5.06
- TOTAL Half Day Total = $80.06
- Full Day Rental $100.00
- Full Day Utilities $30.00
- Sales Tax $8.78
- TOTAL One Day Rental Total = $138.78

These rates are inline with GDMA rates,
however our groups only use the room for
two or three hours at a time.

7. Management
The owner prefers not to manage the room for individual
groups and would prefer we do it.

None of us were inclined to do the work to form another
GDMA and take on the work of managing the place.

David wants to manage the place and make a business
out of it.

8. Proposal

The owner asked that we make a proposal to him as
a group. He needs to make his expenses and can give us
some time to fill the space to generate the income needed.

The proposal is to have David rent the space and
run the room as his business.

David will collect rents from us charged similarly to
GDMA and he will pay the owner. We will put a plan in
place to increase the income to $2,600 by the end of
this year.

We will help David to be successful, and each other,
by joint marketing, running special events, renting the
room during the day for private lessons and other means.
